This Privacy Policy explains how PingPilot ("we", "us", "our") collects, uses, and shares information when you use our website and reminder service (the "Service"). By using the Service you agree to the collection and use of information as described here.
1. Information we collect
Information you provide
- Account information — name, email address, password (stored only as a salted hash) and, optionally, phone numbers used for delivery.
- Reminder content — titles, notes, dates and recipients you create. This content is stored so the Service can deliver your reminders.
- Communications — messages you send us through the contact form or by email.
Information collected automatically
- Usage data — pages visited, features used, timestamps, and approximate location derived from your IP address.
- Device data — browser type, operating system and device identifiers.
- Cookies and similar technologies — used to keep you signed in, remember preferences, and understand aggregate usage.
2. How we use your information
- To provide, operate and maintain the Service — including scheduling and delivering your reminders.
- To authenticate you and secure your account.
- To process transactions and send related information, including receipts.
- To respond to your enquiries and provide customer support.
- To improve the Service, develop new features and analyse usage trends.
- To send service-related notices (such as delivery failures or policy changes) and, where you have opted in, marketing communications.
3. How we share information
- Delivery providers. To deliver reminders we transmit the minimum necessary content (e.g., your name and reminder title) to email, WhatsApp, SMS and voice-call providers acting on our instructions.
- Service providers. Hosting, analytics, payment processing and support tools bound by contractual data-protection obligations.
- Legal requirements. Where required by law, regulation, legal process or enforceable governmental request.
- Business transfers. In connection with a merger, acquisition or sale of assets, subject to this Policy.
We do not sell your personal information.
4. Cookies
We use strictly necessary cookies for authentication and session management, and optional analytics cookies to understand how the site is used. You can control cookies through your browser settings; disabling necessary cookies may prevent sign-in from working.
5. Data retention
We keep account information for as long as your account is active. When you delete your account, we delete or anonymise your personal data within 30 days, except where we are required to retain it for legal, tax or security purposes. Backups are purged on a rolling 90-day schedule.
6. Data security
We use encryption in transit (TLS), encryption at rest, hashed passwords, access controls and monitoring to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your rights
Depending on your jurisdiction (including GDPR and CCPA/CPRA), you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise any of these rights, contact us using the contact form. We will respond within 30 days.
8. International transfers
Your information may be processed in countries other than your own. Where we transfer personal data internationally, we use appropriate safeguards such as standard contractual clauses.
9. Children's privacy
The Service is not directed to children under 16, and we do not knowingly collect their personal information.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be announced on this page with an updated date. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
